About

Lekip Dance is a dance school in Ghent that offers regular classes and organises events throughout the year. Over time, it grew into a well-known name within the local dance scene and started attracting people from outside the region as well.

As the activities expanded, the way things were organised and communicated didn’t always grow at the same pace.

Challange

A lot was happening at the same time: classes, events, collaborations, and internal coordination.

A lot of communication happened at the last moment, which caused confusion. That made it harder to keep oversight, both for the team and for the dancers who relied on clear updates.

The issue wasn’t the motivation or effort. It was the lack of structure and a clear way of deciding what needed attention first.

Objective

The goal was to bring order without killing the energy of the organization. That meant making communication more predictable, using social media in a more consistent way, and setting up a clearer flow for sharing information with members and visitors. At the same time, there was room to think about ideas that could strengthen Lekip Dance as a brand over the longer term.

Approach & strategy

We first looked at how things were actually being handled day to day. Planning, communication, and decision-making were reviewed as they happened, not as they were meant to happen.

It quickly became clear that a lot of time was lost to ad-hoc choices and last-minute tasks. To fix that, a simple content plan was introduced and a small internal group took responsibility for visuals, copy, and publishing.

Subscriptions no longer needed follow-up, because dancers could manage them themselves. Events were no longer thrown together last minute, which made communication calmer.

Results and impact

What are the outcomes of this project?

Once there was more structure, people knew where to look for information. The team knew what had to go out and when. Members got updates more regularly, admin took less time, and event communication didn’t pile up at the last moment. More people came, without the team having to do more than before.

Reflection

This project was about keeping things clear as more classes, events and people were added over time. By fixing how things were organised and communicated, the organisation became easier to run while keeping the same atmosphere and community feel intact.
